The Event Planner is responsible for creation and cultivation of new events.  Research and analyze all special events that are currently scheduled, ensuring financial success and member satisfaction.  Work directly with the Executive Director in creation of ideas and responsibilities.  Coordinate descriptions, dates, costs, information, of special events for marketing, write proposals, obtain RFP’s, budgets, organizing all other arrangements as they relate to events.  Maintain accurate trace systems Supervise and attend setup and implementation of events and meetings, communicating with relevant departments to ensure proper service.  Prepare and present weekly and monthly reports as needed.  The successful candidate will possess the following: Ability to analyze member needs and negotiate pricing.  Basic mathematical skills to complete reports and contracts as required.  Ability to work under time pressures and extensive hours.  Interpersonal skills to provide overall member satisfaction.  Ability to present pertinent event information to staff and members in an organized and timely fashion.  Requirements: College degree in related field, preferred.  Strong computer knowledge of Microsoft Windows basked programs.  Must maintain a neat, clean professional and well-groomed appearance.  Excellent communication skills (business etiquette, telephone, written, and email).  Must be able to multi-task. 

Typical schedule: Monday – Friday 8:30 AM to 5:30 PM (hour off for lunch), some evenings and weekends vary depending on schedule of events. 


Qualifications:

·       Capacity to multitask and collaborate with the team to hit deadlines, manage multiple projects, demonstrate strong organizational skills and provide post data management    and analysis of event experiences

·       Interpersonal skills to provide overall membership satisfaction

·       Strong computer knowledge of Microsoft Windows based programs

·       Must maintain neat, clean, professional and well-groomed appearance

·       Must be able to multi-task

·       Ensure that event arrangements, marketing materials and other communications are consistent with Chamber standards for quality and branding including those available on the Chamber’s intranet and website

·       Complete projects and perform other duties as assigned

·       You are able to lift up to 45 lbs.

·       You are able to be active on your feet while working on events

·       Suggest ways to improve internal event planning process and increase the effectiveness of events

·       Preserves the confidentiality of members and Chamber information

·       Planning activities from initial brainstorming, budgeting and approvals, to final day-of-event coordination and execution.

·       Ability to learn Chamber’s CRM and other marketing databases to prepare and maintain distribution list for event invitations; track and report event RSVP’s

·       Prepare all necessary graphics and documentation, including invitations, signs, name tags, custom handouts…

·       Maintain relationships with venues, caterers, and other vendors that support the Chamber and its members

·       Maintain historic event records in a logical and accessible manner

·       Recommend and implement new designs for Chamber marketing material


Responsibilities:

·       The coordinator will be responsible for planning meetings, special events, meetings and parades for the members and community in a fast-paced, ever-changing environment

·       Responsible for creation and cultivation on new special events

·       Coordinate descriptions, dates, cost, information of special events for marketing, write proposals, budgets, resumes, organizing all other arrangements as they relate to events

·       Maintain accurate trace systems supervise and attend setup and implementation of events and meeting, communications with relevant departments to ensure proper service

·       Prepare and present weekly and monthly reports as needed

·       Keep up with industry trends; continually strive to learn, grow, innovate and improve

·       The position will involve both event planning and support and general marketing support including graphic design, PR/ social media support, marketing content creation, and other areas

·       Proof-read related documents and may occasionally write program material or assist in its development

·       Manage post-event lead follow-ups and collect feedback for improving future events

·       Maintain the weekly event campaign planner to keep staff and board informed and organize and maintain detailed records of procedures and actions taken

·       Negotiator- You are adept at assessing the situation, determining an alternative, and gaining the buy-in of internal and external parties to make it happen

·       Multi-Tasker- You are a natural multi-tasker who is comfortable with different communication styles that can be skillfully applied to problem-solving with others

·       The event planner manages multiple events throughout the year

·       Adaptable- As a collaborative team member, your are able to adjust to situations as they arise to ensure a smooth transition to business/ event needs and customer expectations

Retirement matching up to 3% after first year of service

Annual Salary:  $40,000 to $44,000
